Arrival Procedures
ARRIVAL PROCEDURE
- EARLY ARRIVAL. National camping starts Saturday,August 1, and ends Sunday morning, August 9. You are welcome to arrive early, but you will be required to pay the Ranch camping, extra car and pit permit fees per day. Early arrival fees also applies to exhibitors until Thursday, July 30.. If arriving before Saturday, you may not have a hookup site unless you have been assigned one for National week.
- ARRIVAL PROCEDURE. Upon arrival at the Ranch, all vehicles must stop at the MX Sports Front Gate Office for passes (facility permits, extra car passes, and pit vehicle permits). Everyone inside the vehicle must exit to complete required paperwork when instructed. Adults must sign the liability release for themselves and for their children. There are no wristbands this year, which is a change from 2025.
To help prevent backups onto the highway:
• Do not stop behind another RV and walk to the check-in tent. Proceed all the way to the front of the lane before exiting your vehicle.
• Do not park in the roadway.
• Follow all directions from admissions staff while checking in.
Coordinate your arrival: If members of your group are arriving separately, plan ahead before traveling. The easiest process is to collect only the necessary stickers for you and your vehicle’s entry. Leave remaining vehicle passes at the Front Gate for later arrivals. Guests cannot enter the property to locate someone who already has their vehicle pass. They will be required to obtain their pass before entering, and you may be difficult to get a hold of if you’re too busy having a great time, or are off property when they arrive. Driving back to the gate to deliver forgotten passes creates unnecessary delays. - FACILITY PERMITS. Our staff will place your Facility Permit on the driver’s side of the front windshield of your vehicle for display at all times. Each permit will be assigned to a specific rider. Do not trade or transfer permits. If you did not win the Hookup Lottery, you may not obtain a hookup permit from someone who did. Finally, we realize accidents happen, but if you cause damage to any campsite, you will be held responsible for the cost of repair. If you win the hookup lottery, you will get a Hookup Permit
- EXTRA CAR PASSES. The purpose of an Extra Car Pass is for the convenience of campers to have a vehicle to go to and from town, not for guests staying offsite. Extra Car Passes must be purchased in advance online with the purchase of a Facility Permit. Vehicles pulling a trailer are not eligible for an Extra Car Pass. Place the pass on the driver’s side of the front windshield of your vehicle. In most cases, campsites are not large enough to accommodate both your camper and an extra car, so please park your extra car out of the way, making sure not to take up another campsite.
- RENTAL RV’s. This section applies only to rental RVs delivered by a third-party driver. If you personally drive your rental RV into the Ranch, these procedures do not apply. Guests driving an additional vehicle separately from their rental RV must purchase an Extra Car Pass. Every vehicle entering the Ranch must have an appropriate pass. Rental RVs do not include a tow vehicle pass.
Rental companies or delivery drivers must:
- Stop at the Front Gate.
- Check in with admissions staff.
- Present customer name, rider name, phone number and rental delivery company.
- Follow all gate instructions.
- Delivery drivers may not bypass the gate.
- If the customer arrives with the delivery driver, the customer may escort ("pilot") the driver directly to a campsite.
If the Customer Has Not Yet Arrived: The rental RV must be taken to the designated Rental RV Drop Lot. MX Sports staff is under no obligation to accommodate directional instructions given from customers to rental RV drivers. Delivery drivers may not wait at the Front Gate for the customer. The customer and rental company should coordinate arrival times in advance. The customer must check in immediately upon arriving at the Ranch for camping passes to be validated. This helps prevent confusion and accidental placement of rental units. Many of the rental units will be identical, which is the cause for these rules.
